How it works
Hosting a party involves both per-guest costs and fixed costs, and this calculator estimates the total. You enter the number of guests, the cost per guest, and any fixed costs, and it returns the total cost and the actual cost per guest once fixed expenses are spread across attendees. Per-guest costs are things that scale with how many people come — food, drinks, plates, party favors — while fixed costs stay the same regardless of the headcount, such as the venue rental, decorations, a DJ, or a cake. Separating the two gives a realistic budget: a party with high fixed costs becomes cheaper per guest as more people attend, which is why the actual cost per guest is often higher than the per-guest figure you entered, especially for small gatherings. This calculator helps you plan a party budget, decide how many guests you can afford, and see the effect of adding or cutting fixed expenses. To build a complete estimate, add up all your per-guest items into the cost-per-guest figure and all one-time expenses into fixed costs. It works for birthdays, weddings, holiday gatherings, and any event. Remember to leave a small buffer for last-minute additions and unexpected costs. Enter the guests, cost per guest, and fixed costs to estimate the total.
Total = guests × cost per guest + fixed costs
The total party cost is the number of guests times the per-guest cost (food, drinks, favors) plus fixed costs that don't scale with attendance, like the venue and decorations. Dividing the total by guests gives the true cost per guest including those fixed expenses.

Frequently asked questions
How do you estimate the cost of a party?
Add the per-guest costs times the number of guests to the fixed costs. For 20 guests at $25 each plus $200 in fixed costs, the total is $700. Dividing by guests gives the actual cost per guest, $35 here, which is higher than the per-guest figure because it includes the fixed expenses.
What is the difference between per-guest and fixed costs?
Per-guest costs scale with attendance — food, drinks, plates, and favors cost more with more people. Fixed costs stay the same regardless of headcount, like venue rental, decorations, entertainment, or a cake. Separating them gives an accurate budget and shows how the cost per guest changes as your guest count rises or falls.
Why is the actual cost per guest higher than what I entered?
Because the actual cost per guest spreads the fixed costs across all attendees on top of the per-guest amount. If fixed costs are $200 and you enter $25 per guest for 20 people, each guest effectively costs $35 once the venue and decor are included. With more guests, the fixed portion per person shrinks.
How can I lower my party cost?
Reduce per-guest costs with simpler food and drink or a potluck, trim fixed costs by hosting at home instead of renting a venue or by handling decorations yourself, and adjust the guest list. Because fixed costs are shared, inviting a few more guests lowers the cost per person, while cutting fixed extras reduces the total most directly.
Should I add a buffer to the estimate?
Yes. Parties often have last-minute additions — extra guests, more food, a forgotten supply, or a service fee — so adding a buffer of around 10 to 15 percent to your estimated total protects your budget. It is better to plan for a little extra than to be caught short, so build in a cushion when budgeting.
